AI receptionist
Answers every call, or only the calls you miss, 24 hours a day, in a natural voice that handles interruptions, and says at the start that it is an AI assistant. It answers from a written profile of your business that you approve line by line, never from a scrape of your website, and it does not make things up. Texts are answered the same way, from the same profile.
Customer intake
A new caller, texter or web visitor becomes a customer: name, phone, email, how they prefer to be contacted, how they found you, and their consent to be texted and emailed. Returning customers are recognized by their phone number and asked to confirm.
One customer record
Contact details, preferences, consent, and the timeline of every call, text, email and appointment, in one place. It works with your CRM if you have one (HubSpot today, others through a connector) and on its own if you do not.
Booking across your team
You set your services and how long they take, your staff and their hours, and your rules: notice, buffers, same-day cutoff. The receptionist offers real free slots across the staff who provide that service, holds one during the call and writes it to the right person's calendar; reschedules and cancellations follow the same rules. Microsoft 365 calendars today, Google Calendar and booking software through connectors.
Reminders
Text and email reminders at the times you choose, for example the day before and two hours before, with "reply Y to confirm" and a way to reschedule. Opt-outs are honored immediately, and you can see who confirmed and who did not reply.
Live transfer to a person
When a caller asks for someone, or the matter is urgent, the call is put through to the number you choose for that time of day, with call screening. If nobody picks up, the receptionist takes the request instead.
Your notes
After every conversation you get a note with what the customer wanted and the full transcript, with their email address as the reply address.

A connector is a small piece of software we build for your system, so the receptionist can read from it and write to it while the customer is on the line. A question answered from your booking software, a booking written straight into your practice or salon software, a customer looked up in your own database, a ticket created in your help desk.

Each connector is written for your specific system, in C# and .NET on Microsoft Azure.
It never holds your passwords
Connectors sign in with Azure managed identity, or with keys kept in Azure Key Vault. No credentials are written into the code.
It checks who is asking first
Before it shares anything, it checks who is asking. For example, it only confirms an appointment to the phone number on the booking.
Your system stays yours. The Front Desk does not replace your calendar, CRM or booking software; it works through them. Switch CRM later and only the connector changes.
Ready-made today: Microsoft 365 (calendar and mail) and HubSpot. On request: Google Workspace, common booking software for salons and studios, dental and medical practice software, help desks, and anything with an API or a database. Systems without a usable API, such as older or on-premises software, are scoped on a call.

Healthcare tier: built for HIPAA
Imhauser Front Desk comes in two tiers. Standard is for most appointment businesses. Healthcare is for dental, medical and other practices that handle patient information, and adds the following.
- We sign a Business Associate Agreement with every practice.
- Everything runs on Microsoft Azure under Microsoft's own HIPAA agreement, and every other provider we use for a practice has signed one too.
- Encrypted in transit and at rest. Every access to a patient's contact record, transcript or recording is logged in an audit trail. Staff sign in with multi-factor authentication and see only what their role needs.
- Minimum necessary by design: the receptionist confirms who it is talking to before it says anything about an appointment, reminders carry only the date, time and practice name, and nothing about a patient is written into application logs.
- Not a practice-management system and not a medical record. It handles the front desk; your practice software keeps the patient's file.
HIPAA compliance is something a practice and its vendors do together. We provide the agreement, the controls and the documentation for your risk analysis.
Built from an interview, not scraped from your website
It starts with a half-hour interview: your services, your staff, your hours, the questions every customer asks, and how you want prices handled. We write that up as your profile and you approve it line by line.
It does not make things up. If a customer asks something the profile does not cover, it takes it down as a question for you. Before go-live you get test calls with full transcripts to review.
We are based in McLean, and the person you talk to is the person who fixes it. If it ever says something wrong, tell us and it is fixed the same day.
